How to prepare a useful technology project brief

A clear brief helps your team compare proposals and make better delivery decisions.

Start with the problem Describe the operational issue in plain language. Explain who experiences it, how it is handled today and why it matters. A list of features is useful, but it does not replace a clear problem statement. Identify the people involved List the users, decision makers and people who own the systems or data the project will need. Clarify who reviews requirements and who can accept completed work. Describe the constraints Record your existing platforms, integration requirements, target dates and budget range. Identify information that must remain private and any review process the project must follow. Define an acceptable result State how you will know the work succeeds. Use observable outcomes such as an approved workflow, a successful integration or a documented operational handover. Agree the next step A discovery conversation can turn the brief into a practical scope. Use the proposal to confirm deliverables, responsibilities and the way changes are handled.
